This policy explains what personal data Deep Learner Academy collects when you use our website, courses, workshops, live sessions, and dashboards — why we collect it, how long we keep it, and the choices you have.
Deep Learner Academy (“DLA”, “we”, “us”) operates an online learning platform serving individual learners, startups, colleges, and schools. We provide recorded courses, live sessions, workshops, mentor programmes, and verifiable certificates.
For the personal data described in this policy, DLA acts as the data controller — we decide why and how it is processed. Where an organisation (a college or employer) enrols learners on our platform, that organisation is the controller for its learners' records and DLA acts as its processor. See Organisation accounts.
We collect only what we need to run the platform. We do not sell your personal data.
| Category | Examples | Source |
|---|---|---|
| Account data | Name, email address, phone number, password (stored hashed), role and organisation | You, at sign-up |
| Learning data | Courses enrolled, lesson and video progress, quiz and assessment results, certificates issued and their serial numbers | Generated as you use the platform |
| Live session data | Attendance, chat messages, questions asked, and recordings where a session is recorded (you are told beforehand) | You, during live sessions |
| Enquiry data | Messages sent via our contact form, mentor applications, and workshop or event registrations | You, when you submit a form |
| Payment data | Transaction reference, amount, plan, and status. Card and bank details are handled by our payment gateway — DLA never stores full card numbers. | Payment provider |
| Technical data | IP address, browser and device type, pages viewed, timestamps, and error logs | Collected automatically |
We do not intentionally collect sensitive personal data (such as health, biometric, religious, or caste information). Please do not include such details in contact forms, chat messages, or assignment submissions.
We do not use your personal data to make decisions about you by automated means alone that produce legal or similarly significant effects.
Where data protection law requires a lawful basis, we rely on:
When a retention period ends, we delete the data or irreversibly anonymise it.
We protect your data with encryption in transit (HTTPS), hashed password storage, role-based access controls, restricted administrator accounts, and regular backups. Access to production data is limited to staff who need it to do their jobs.
No online service can promise absolute security. If a breach affects your personal data and creates a risk to you, we will notify you and the relevant authority as required by law. Please tell us immediately at info@deeplearner.academy if you believe your account has been compromised.
Depending on where you live, you may have the right to:
To exercise any of these, email info@deeplearner.academy. We respond within 30 days and may ask you to verify your identity first. Exercising your rights is free; we may charge a reasonable fee only for manifestly excessive or repetitive requests.
Our platform is intended for learners aged 16 and over. Where DLA delivers programmes to schools, learners under 16 may be enrolled only by the school or by a parent or guardian, who provides consent on the learner's behalf.
For those accounts we collect the minimum necessary — name, enrolment, and progress — and never use the data for marketing or profiling. If you believe a child has given us personal data without proper consent, contact us and we will delete it promptly.
If your college, school, or employer enrolled you through a startup, college, or enterprise account, that organisation administers your access. Its administrators can see your enrolments, progress, assessment results, and certificates, and can add or remove your access.
In this situation the organisation determines how your learning records are used, and its own privacy policy applies alongside ours. Requests to access or delete records held under an organisation account should go to that organisation first; we will support them in responding.
We may update this policy as our services or the law change. The “last updated” date at the top always reflects the current version. If a change materially affects your rights, we will notify you by email or with a notice on the platform before it takes effect. Continuing to use DLA after that date means you accept the updated policy.
